Switching CRM without losing your mind
A calm, staged plan for migrating CRM: what to move, what to leave, how to map fields and pipelines, and how to run both systems briefly so nothing falls through.
CRM migrations have a bad reputation because most are done in a panic, over a weekend, with no plan. Staged and boring is how you want this to go.
Decide what actually moves
You do not need ten years of dead leads in the new system. Move active accounts, open deals and anything with a legal or reporting obligation. Archive the rest to a file — clean beats complete.
Map before you move
Write the field map first: old field to new field, old stage to new stage. This is where a flexible object model helps — you shape the destination to your data instead of forcing your data into someone else's schema.
Import in a dry run
Import a sample, check it, fix the map, then do the full load. A CSV import that skips computed fields and validates as it goes saves you from re-importing garbage twice.
Overlap, briefly
Run both systems — new alongside a read-only old — for a week or two so nothing in flight is lost. Then cut over cleanly and turn the old one off. An overlap that never ends is just two CRMs.
