Solstral CRM: connect your Gmail so customer email lives on the record
Solstral CRM is a web-based customer relationship management (CRM) and marketing platform. Connect your own Gmail or Outlook mailbox and the email you exchange with a customer appears in Solstral CRM automatically — on their record, beside the deal — and your replies go out from your real address.
About Solstral CRM
What Solstral CRM is
Solstral CRM is a web-based customer relationship management (CRM) and marketing platform operated by Mount Bensley Pty Ltd at solstral.com. Teams use Solstral CRM to manage contacts and deals, send email, automate follow-ups and schedule meetings — all on the same data. This page describes the Solstral CRM connected inbox and exactly how it accesses, uses and stores Google user data. It is a public page — no sign-in is required to read it. Our Privacy Policy and Terms of Service describe our data practices in full.
Every conversation on the record
Email you exchange from your own mailbox is matched to the contact or company it was with and attached to their timeline — so the history is there when a colleague picks the deal up.
Reply without leaving the CRM
Answer from the shared inbox and the message sends from your own address, in the same thread, so the customer sees a normal reply from a person.
Private by default
Your connected mailbox syncs into a mailbox only you can see. A message reaches your colleagues only by being attached to a record they can already open.
What the connected inbox does
- Connect your own Gmail (or Microsoft/Outlook) mailbox in a couple of clicks via secure OAuth
- Syncs your recent messages into a mailbox inside Solstral that is private to you
- Attaches each message to the contact or company record whose email address matches
- Threads replies correctly using the message's own In-Reply-To and References headers
- Reply from the shared inbox and the message is sent from your real address
- Never modifies, labels, archives or deletes anything in your mailbox
- Bulk and marketing email is never sent through Gmail — it uses your own verified sending domain
- Disconnect at any time from Settings — this immediately revokes Solstral's access
Your data, handled transparently
How Solstral CRM uses your Gmail data
We request the minimum access the connected inbox needs, use it only to power the features on this page, and only while your account stays connected. Here is precisely what that means.
Read — to put correspondence on the record
We read the messages in the mailbox you connect so your one-to-one email appears in Solstral: in a mailbox only you can see, and on the timeline of the contact or company it was with. We need message bodies, not just headers — a timeline of subject lines tells you nothing — which is why gmail.metadata isn't enough. Scope: gmail.readonly.
Send — as you, not as a robot
When you reply from Solstral the message goes out from your own address, so it arrives as you and threads correctly in the recipient's client. gmail.send is the narrowest scope that can send; the alternatives would also grant read, draft or delete access we don't want. Scope: gmail.send.
Never — modified, sold or mined
We never modify, label, archive or delete anything in your mailbox, and never touch a mailbox you haven't personally connected. We don't sell your Google data, don't use it for advertising, and never use it to train machine-learning models.
Solstral's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Full details of what we collect, store and share are in our Privacy Policy and Terms of Service.
Questions
Gmail data, in plain terms
What Gmail data does Solstral access?
Only what the connected inbox needs: the messages in the mailbox you connected, so they can appear in Solstral and on the matching customer record (gmail.readonly); the ability to send a reply from your own address (gmail.send); and your account email address to label the connected mailbox (userinfo.email).
Why do you need to read message bodies rather than just headers?
Because the point of the feature is showing your team what was actually said to a customer, beside the deal it belongs to. A record of subject lines and dates isn't usable history, so the metadata-only scope cannot deliver it.
Can other people in my workspace read my email?
No. Mail synced from your connected mailbox lands in a mailbox private to you. A message becomes visible to colleagues only when it is attached to a customer record they can already see — which is the point of a CRM timeline, and is the same visibility rule as every other activity on that record.
Is marketing email sent through my Gmail account?
Never. Campaigns and bulk email are sent from your workspace's own verified sending domain. The Gmail connection is strictly for one-to-one correspondence.
Can I disconnect my mailbox?
Yes — disconnect at any time from Settings, which immediately revokes Solstral's access. OAuth tokens are stored encrypted and are never logged in plaintext. You can also ask us to delete synced messages by emailing [email protected].
