Use Zoom for your booking pages

Solstral can create a real Zoom meeting for every booking taken on a booking page — its own meeting ID and passcode, created when the booking is made, moved when it is rescheduled and deleted when it is cancelled. This page covers adding the Zoom app, using it, and removing it.
Before you start
- A Zoom account with permission to create meetings. Any paid or free Zoom plan that lets you schedule meetings will do.
- A Solstral workspace with at least one booking page. If you haven't made one yet, start with Set up booking pages and take your first meeting.
- Each person who hosts meetings connects their own Zoom account. There is nothing for an administrator to install for the whole workspace.
Adding the app
Zoom is connected from inside Solstral, not from the Zoom App Marketplace — the connection has to be attached to your Solstral user, so it starts here.
- Sign in to Solstral and open Meetings → Calendar (the same panel is at Settings → Calendar).
- Find the Video conferencing card and click Connect Zoom.
- Zoom asks you to sign in and shows what the app is requesting. Review it and click Allow.
- You are returned to Solstral and your Zoom account appears with a green Connected label.
If adding the app doesn't work
- You land back on an error page. The connect link is only valid for 15 minutes. Return to Meetings → Calendar and click Connect Zoom again rather than reusing an old browser tab.
- Zoom says you need approval. Some Zoom accounts require an administrator to pre-approve apps. Ask your Zoom administrator to approve Solstral, then try again.
- The button says Zoom isn't configured. Zoom hasn't been enabled on your Solstral deployment. Contact support.
Using the app
Point a booking page at Zoom
Open Meetings → Booking pages, choose a page, and under Location select Zoom (new meeting per booking). Save the page. Every booking taken on it from that point gets its own Zoom meeting.
What the invitee gets
The join link and passcode appear in the confirmation email, in the calendar invitation, and in any reminders you have switched on. The same details are on the booking inside Solstral, and on the linked contact's timeline.
When a booking changes
- Rescheduled — the Zoom meeting is moved to the new time. The join link stays the same, so anyone who already has it can still use it.
- Cancelled — the Zoom meeting is deleted, so cancelled calls don't leave unused meetings on your Zoom account.
Zoom vs a fixed link
The location list also offers Fixed link, where you paste one URL — usually a Personal Meeting Room. That is a different thing. A fixed link is the same room for every booking, so two clients booked back to back can arrive in the same place, and it isn't created or removed with the booking. Choose Zoom unless you specifically want one permanent room.
If a booking has no Zoom link
- The page's location isn't set to Zoom. A page set to Google Meet or Teams gets a link from the calendar instead.
- The host has no Zoom connected. On team and round-robin pages, the meeting is created on the assigned host's Zoom account, so every host who might take the booking needs to connect their own.
- The connection needs attention. If your Zoom password changed or access was revoked, the card in Meetings → Calendar shows Reconnect instead of Connected. Click it to reconnect.
The booking itself is never lost because Zoom was unavailable — it keeps its time, its calendar entry and its emails, and the booking's row shows what went wrong.
What data is shared with Zoom
To create a meeting, Solstral sends only the meeting topic, start time and duration. Nothing about the invitee is sent to Zoom beyond the booker's name appearing in the meeting topic. From Zoom, Solstral reads the connected account's email address (shown on the connection card so you can see which account is in use) and the Zoom user ID, and stores the meeting ID, join link and passcode against the booking. Solstral does not access meeting content, recordings, transcripts or participant lists. Full detail is in our privacy policy.
Removing the app
There are two ways to remove it, and both revoke Solstral's access to your Zoom account.
From Solstral
Open Meetings → Calendar, find your Zoom account under Video conferencing, and click Disconnect.
From Zoom
Sign in at zoom.us, go to Manage → Added Apps (or search for the app in the Zoom App Marketplace), find Solstral and click Remove. Zoom notifies Solstral, which removes the connection at our end automatically and confirms the deletion back to Zoom.
What happens when you remove it
- Your connection and its access tokens are deleted from Solstral. Solstral can no longer create, change or delete anything on your Zoom account.
- Bookings already made keep their existing join links, and those Zoom meetings are left alone. This is deliberate: calls that are still going ahead should not stop working because a connection was removed for an unrelated reason. If you want those meetings gone, cancel the bookings in Solstral before disconnecting, or delete the meetings in Zoom afterwards.
- New bookings on a Zoom page will have no join link until you either reconnect Zoom or change the page's location to something else. Change the location on any affected page so invitees aren't sent a confirmation with nowhere to join.
- Nothing else is affected. Your booking pages, availability, past meetings and contact records all stay exactly as they are, and any Google or Microsoft calendar connections keep working.
