Conversations update the deal

Last updated 16 October 2026

After a recorded meeting, or a reply on an email thread about a deal, Solstral works out what it changes: the next steps, a new stage, amount or close date, and people who matter to the deal. Each one says the words it rests on and when they were said.

1. Choose the fields

Conversations only touch the fields you allow. In a field's settings tick Conversations may update this field, or in Settings ▸ Notetaker press Let them update each pipeline's stage, amount and close date. Personal and sensitive fields, fields worked out from others, AI fields and lead scores can't be ticked.

2. Choose Suggest or Auto

In Settings ▸ Notetaker, under What conversations change on records:

  • Suggest (the default): each change waits on the deal, and on each attendee's record, under From conversations. Tick and Accept, or Dismiss.
  • Auto: changes are made as soon as the notes are written. Each has an Undo and a Why?. Auto never changes a value someone set in the last 30 days (that one waits, saying who set it), and a stage whose required fields the deal lacks waits too. Auto needs the record event log, which keeps every change undoable; until it is on for your workspace, Auto waits like Suggest.
  • Off: conversations write notes only.

What it can change

  • Next steps become tasks on the deal, for whoever recorded the meeting, due on the day agreed.
  • Field values go through the same checks as an edit by hand: a dropdown only takes one of its options, a date has to be a date.
  • People the conversation names (a CFO who signs off, say) are found by their email address, or added, and linked to the deal. Auto only links someone with an address; a name alone waits for you. Who joined the meeting by email and isn't on the deal yet is suggested too.

Email threads

When the notetaker is on, a reply from outside on a thread about one open deal is read a quarter of an hour after it arrives (and at most every six hours a thread): what it says changes the deal the same way, citing the email. A thread about two open deals is left alone. Reading a thread takes a few AI credits, inside the notetaker's daily budget.

Undo and why

Every change made, by a person or by Auto, can be undone on its own from the deal or the conversation: the field goes back to what it was (if nobody has changed it since), a task that hasn't been worked on is removed, a person added is unlinked (and removed if they were added just for this). Why? names the conversation, when in it, and the words (the words only for who may read the transcript).

A follow-up email

On a conversation's page, Draft a follow-up writes a short email to an attendee from the notes and opens it in the composer on their record. Nothing is sent until you send it.
