Give the assistant a scheduled task

Last updated 15 October 2026

A scheduled task is standing work for the assistant. It wakes on a schedule, looks at one part of your workspace, and either tells you what it would do or does it. Open Assistant tasks in the sidebar to see the tasks you have set up and what the assistant did on them. There is one assistant: tasks have titles, not names or personalities.

The tasks you can add

  • Daily summary writes a morning briefing: how the pipeline moved, what came in, and what needs attention.
  • Data tidy-up tidies values that are the same thing written differently, flags records that look like duplicates, and once a week points out fields whose type no longer fits what people type into them. It never changes a field itself.
  • Sending health watch watches bounces, complaints and sending health, and tells you before they become a problem.
  • Lead triage reads every new lead from a form, the chat widget or the API and marks it hot, warm or cold with a one-line reason. Add a Lead tier field for it to write into. It never changes a tier a person has already set. On its card you can also pick the members new leads may go to (each hot or warm lead with an empty Owner field goes to whoever has had the fewest new leads this week) and a booking page to offer hot leads (it drafts a short email with the link for you to send).
  • Follow-up drafts finds people you emailed who haven’t replied in five days or more and writes a short follow-up in the same thread. It leaves alone anyone a running sequence is already following up.
  • Campaign planning plans your next campaign from the brief you give it and what your last campaigns did.

How much freedom

Every task starts paused and set to Propose only: it shows you what it would do and changes nothing. (The Flow steps task, which appears the first time a flow uses an Ask the assistant step, starts switched on but still only proposing, because only your own flows can run it.) When you trust it, an admin can move it up:

  • Act, ask when unsure — it does the reversible part and leaves the rest for you. The Follow-up drafts task leaves drafts with a Send button; The Campaign planning task creates a draft campaign.
  • Act & report — it does the job and tells you afterwards. The Follow-up drafts task sends follow-ups itself, at most 20 a day and only to people who have replied to you before. The Campaign planning task schedules its campaign at least a day ahead, and only to a list of 2,000 people or fewer.

Each task runs as a member of your workspace with its own role — never an admin — so everything that limits a person limits it too: record visibility, sender permissions, suppression lists and plan limits.

The campaign brief

The Campaign planning task only writes about what you tell it. Press Edit next to Brief on its card and describe what your campaigns should be about, who they’re for, and any offer or link to use. Until you do, it only tells you what has worked. It never invents offers, prices or dates, and a link is only used if it is in your brief.

The log, and undo

Every change a task makes appears in the log on the Assistant tasks page with an Undo button. Undo puts things back exactly as they were — and refuses if someone has changed the record since, so it never overwrites a person’s later work. A campaign the Campaign planning task scheduled can be unscheduled with one click right up until it sends. An email the Follow-up drafts task sent can’t be recalled, and the log says so.

Cost and the brake

Assistant tasks use your AI credits. Each run has limits on steps, time and credits, each task has a monthly budget shown on its card, and most runs cost nothing because the task checks first whether anything has changed. If spending across the workspace looks wrong, a brake stops every task until an admin clears it.

A daily digest

Turn on Daily assistant summary in your notification settings to get one email each morning summarising what your tasks did. It is off by default, and no email is sent on a day when nothing happened.

A task in your own words

Under Add a task, type what you want done and when, for example “Every Monday, review our top flows and flag anything slipping”. Solstral reads the schedule from your words (every day, a day of the week, a day of the month, every hour); if it can’t, it says what it understands. Name a saved skill and the task follows that procedure, using only its actions. It starts paused and only proposes, and reports what it finds on its card, in the daily summary and as one item on Home that the next run replaces.

Not switched on yet?

Assistant tasks are being switched on one workspace at a time. Until yours is, the Assistant tasks page says so: you can set tasks up, and they start running once it is switched on.
